Music and Performing Arts (MAPA) Policy

Article I - Responsibilities of the MAPA Chair

Section 1 - Meeting Management

  1. The Chair of the MAPA Committee shall be responsible for the scheduling and organizing of MAPA committee meetings.
    1. Committee Meetings should be held 2-3 times per semester.

Section 2 - Service Management

  1. The Chair of the MAPA Committee shall be responsible for the maintenance of the service hours form and spreadsheet.
  2. The Chair shall also be the administrator of the Brotherhood’s Givepulse account, and should sign up Brothers for service opportunities Brothers have chosen to volunteer for.

Section 3 - Brotherhood Projects

  1. The Chair shall be responsible for selecting the main projects that members of the Brotherhood will be involved in coordinating and organizing, as well as appointing project heads.
    1. The advised amount of projects is approximately 4.
  2. The Chair shall be responsible for allocation of funds received from finance toward MAPA projects.
  3. The Chair shall be responsible for maintaining contact with the project heads.

Section 4 - Calendar

  1. The MAPA Chair requires edit access to the Fraternity Google Calendar.
  2. The Chair is responsible for creating relevant Google Calendar events, and inviting the appropriate individuals.

Section 5 - Additional Responsibilities

  1. The Chair shall also be responsible for the following:
    1. Holding meetings in conjunction with the vice president if a Brother is experiencing difficulties or difficulty is anticipated with meeting the required service hours.
    2. Maintaining and updating a contact sheet for persons and local organizations that the Brotherhood chooses to maintain contact with.
    3. Reaching out to local organizations, such as the Visual and Performing Arts department, the Rosza, and Local Schools for possible service opportunities.

Article II - Responsibilities of the Committee

Section 1 - Service

  1. Before each semester, and Lock-In if applicable, the MAPA Committee shall determine the amount of service hours that each Brother will be responsible for completing.
    1. This should be based on the amount of available projects, as well as the amount of Brothers active in the Brotherhood.
    2. A Fundraising Representative shall be present during this process.
    3. The amount shall be presented to the Brotherhood either during the first or second meeting of the semester after lock-in.
  2. The amount of service hours required per Brother may be changed during a semester if deemed necessary by the Brotherhood.
    1. The MAPA Chair and committee shall meet to discuss what the new amount of required service hours shall be.
    2. The new quantity shall be proposed at the next general meeting during the MAPA Report or during New Business.
    3. The Brotherhood must vote by simple majority vote to approve or deny the proposed change to the service hour requirement.
  3. The MAPA committee should also present service opportunities to the Brotherhood during the “Sign-Ups” section of the meeting during New Business.
  4. If a Brother fails to meet the required amount of service hours, or if other concerns arise regarding the ability to complete the service hour requirements, a meeting is recommended to be held between the Brother and the Vice President and the MAPA Chair.
    1. This meeting should have the purpose to discuss possible solutions going forth for how the Brother should approach meeting their service hour requirements for the remainder of the semester.
      1. Possible solutions may include, but are not limited to, lowering the requirement for the Brother or lessening the amount of committees the Brother is involved in.

Section 2 - Organizing Events

  1. New or Uncommon Events.
    1. Present idea and gauge interest.
    2. Arrange with relevant authorities and stakeholders. Establish lines of communications to points of contact.
    3. Set a time, date, and location.
    4. Put event(s) on the Zeta calendar.
    5. Hold sign-ups during general meetings.
  2. Scheduling Events
    1. Do not schedule events for times that conflict with those scheduled by Campus Involvement, Rushing, and Member Education committees, as well as general meetings.
    2. MAPA projects should avoid scheduling over other music and performing arts events on or near campus.
  3. Rozsa Events
    1. Zeta Chapter does not plan these. Service opportunities are offered by the Rozsa Front of House Manager.
    2. Lists of those who have signed up for each event are given to the Rozsa Front of House Manager, as far in advance as possible.
    3. Brothers who must cancel are to inform both the Service Chair(s) and the Rozsa Front of House Manager.
    4. Brothers are to wear the Rozsa polos and magnetic badges stored in the Rozsa locker.

    1. Pep Band Camp Dinner, Ushering at Rozsa/McArdle, Pep Band Truck Unloading, and Dinner and a Movie are all described in the service handbook.
    2. Details regarding Jam Session, Karaoke, Post-Show Reception, and Jazz Cafe projects, in addition to future projects should be noted in the MAPA Handbook.
    3. The current contact list is described in the MAPA Handbook, and should be updated as needed.

Section 3 - Conduct

  1. Expected conduct of Brothers at MAPA events should follow that which is outlined within the National Conduct Policy and the National Risk Management Policy.

Article III - Committee Resources

Section 1 - Rozsa Locker

  1. Zeta Chapter has a locker on the second floor of Walker, # 151.
    1. The code is available to all Brothers on request.
  2. The ushering shirts and magnetic badges are stored here between events.
  3. Personal items may be stored by Brothers during events.

Section 2 - Finances

  1. The MAPA committee receives the funds to host events from the Finance committee.
    1. Funds are divided between the projects by the MAPA Chair.
  2. Funds generated from MAPA events go to the finance committee.
