Music Makers Committee Policy

Article 1: Purpose

The Purpose of the Music Makers Fund shall be:

  1. First, to serve Mu Beta Psi, its chapters, and its Brothers
  2. Second, to promote music in the communities of the alumni Brothers of Mu Beta Psi.

Article 2: Grants and Scholarships

  1. Funds may be disbursed from the Available Assets of the Music Makers Fund for any of the following purposes:
    • Chapter service projects
    • Chapter fundraisers
    • National Fraternity service projects
    • National Fraternity fundraisers
    • Scholarship awards
    • Individual or community service projects involving at least one (1) Brother of Mu Beta Psi
  2. Application
    1. Any Brother, Chapter, and/or non-profit organization may complete an application for a grant from the Music Makers Fund.
    2. The application form(s) shall be maintained by the Music Makers Fund Committee, but shall contain at a minimum:
      1. The name of the Brother, Chapter, and/or non-profit organization requesting the funding;
      2. A Statement of Purpose for the activity including the objectives of the activity and how its purposes align with those of the Music Makers Fund;
      3. A Statement of Need detailing why the Brother, Chapter, and/or non-profit organization needs the funding;
      4. A Statement of Use, including the requested amount of funding, a basic budget of how the funds are to be used, and a general time line for their use;
    3. Only those applications containing all of the information and materials requested in the application form(s) will be eligible for review.
  3. Review
    1. Review of the completed applications will be conducted by the Music Makers Committee within thirty (30) days of their submission.
    2. The Music Makers Committee will evaluate the application and judge its merit based on how closely the activity aligns with the purposes of the Music Makers Fund, the probability that the lack of funding would cause the failure of the activity, and the history of applications and awards to that Brother, Chapter, and/or non-profit organization, if any.
    3. The Music Makers Committee may request additional materials or information from the applicant or any Brother related to the application to aid in the evaluation process.
    4. If the Music Makers Committee feels that an application is worthy of funding, it shall recommend to the Alumni Association for approval funding in the amount of the Music Makers Committee's choosing, up to but not exceeding the amount requested in the Statement of Use, nor in excess of the Disbursement Limitations outlined in this policy.
    5. If the Music Makers Committee feels than an application is not worthy of funding, it shall provide a written explanation of its decision to the applicant with any suggestions for improving the application in the future.
  4. Approval
    1. The Alumni Association may approve recommended applications from the Music Makers Committee during its meeting(s) at the National Convention, its Mid-Year Meeting, or at any other meeting called by the President for that purpose.
    2. The Music Makers Committee may also request that the President call for a Chapter vote via email.
    3. Approval shall be by majority vote.
    4. The disbursement shall be made by the Alumni Association Treasurer to the approved applicant within thirty (30) days of approval by the Alumni Association.
  5. Other Types of Disbursements
    1. Disbursements may be made for activities beyond the aforementioned recommendations for the Music Makers Fund at the discretion of the Music Makers Committee. These disbursements may include, but are not limited to, donations to the National Organization's Liability Fund and donations to other Chapters.
    2. These disbursements shall be recommended by the Music Makers Committee to the Alumni Association, and shall require a two-thirds (2/3) majority vote for approval.
    3. These disbursements do not require a completed application, but should include a Statement of Purpose and Statement of Need as applicable.
  6. Disbursement Limitations
    1. No more than 50% of the Available Assets may be disbursed in any single fiscal year.
    2. No disbursement may be made to a - Ordered List Itemny Brother, Chapter, and/or non-profit organization for the purpose of endowment building or other investment.

Article 3: The Music Makers Committee

  1. The Music Makers Committee shall be composed of no less than three (3) Brothers active with the Alumni Association.
  2. The Music Makers Committee chair shall be appointed by the President of the Alumni Association.
  3. The Alumni Association Treasurer shall serve as a non-voting member on the committee, and shall provide a status report of the Music Makers Fund to the committee quarterly.
  4. The Alumni Association Treasurer may not serve as Music Makers Committee chair.
  5. In the event that a member of the Music Makers Committee should apply for funds from the Music Makers Fund, that Brother shall not take part in the evaluation process.

Article 4: Communication

  1. It shall be the responsibility of the Music Makers Committee Chairperson to communicate to the National Organization and Chapters the availability of the Music Makers Fund grant process.
  2. The Music Makers Committee Chair shall be the point of contact for Brothers, Chapters, and/or non-profit organizations interested in the Music Makers Fund grant process.
  3. The Music Makers Committee shall report on its activities to the Chapter Secretary for the purpose of including the information in the Chapter's report at the National Convention.
  4. The Music Makers Committee shall maintain printed and electronic information about the Music Makers Fund grant process.

Article 5: Policy

This policy shall be amended by the Music Makers Committee and approved by a majority vote of the Alumni Association.
