Communication Policy

Ratified: 2009

Date Last Amended: N/A

This policy shall be revised as necessary by the Alumni Association Executive Committee.

The revised policy shall be approved by a majority vote of the Alumni Association meeting body.

January 1

The President shall send out information regarding the Convention Meeting to all Active Alumni Association Members. At this time, the President shall solicit items for the agenda.

January 15

The Treasurer shall send out letters to any persons who made cash donations to the Alumni Association in the prior calendar year. Such letters shall include the amount of the donations, approximate date of the donations, the current IRS tax exempt status of the Alumni Association and whether any amount of the donation was received on a 'quid pro quo' basis.

February 1

The President shall send out the agenda for the Convention Meeting to all Active Alumni Brothers.

February 16

The Secretary shall solicit the Mu Beta Psi National Secretary for copies of the Initiation Reports and term-end Alumni Reports collected from the collegiate Chapters on February 15.

March 1

The Secretary shall compile all of the names and school addresses of the initiates and send them to the President and shall compile all the names and school addresses of the graduates and send them to the Vice President.

March 15

  1. The President shall send out initiation letters to all names compiled and sent by the Secretary on March 1.
  2. The Vice President shall send out graduate letters to all names compiled and sent by the Secretary on March 1

May 1

The Secretary shall solicit the Mu Beta Psi National Secretary for copies of the Initiation Reports and term-end Alumni Reports collected from the collegiate Chapters on April 30.

May 15

The Secretary shall compile all of the names and school addresses of the initiates and send them to the President and shall compile all the names and school addresses of the graduates and send them to the Vice President.

June 1

  1. The President shall send out initiation letters to all names compiled and sent by the Secretary on May 15.
  2. The Vice President shall send out graduate letters to all names compiled and sent by the Secretary on May 15.
  3. The Vice President shall send out the Alumni Newsletter, a biannual correspondence for all alumni for whom the Chapter has contact information.

60 Days Prior to MY Mtg

  1. Ordered List ItemThe President shall send out information regarding the Mid-year Meeting to all Active and Special Active Alumni Association Members. At this time, the President shall solicit items for the agenda.
  2. The Treasurer shall remind all Active and Special Active Alumni Association members and prospective members that National and Chapter dues will be due at the Mid-year meeting. The Treasurer should send notice that if members cannot attend the Mid-year meeting, their dues should be mailed to the Treasurer no less than 10 days prior to the Mid-year meeting in order to gain or retain Active status.

30 Days Prior to MY Mtg

The President shall send out the Mid-year Meeting agenda to all Active Alumni Association Members. The outgoing officers shall turn over all relevant documents to the incoming officers.

August 1

The Secretary shall publish the official Alumni Association Calendar. This calendar shall include all of the deadlines found in this policy as well as any other information that the Secretary deems appropriate. The calendar shall be from August of the current year through July of the following year.

October 1

The Secretary shall send out to each collegiate Chapter MAL the guidelines for submitting nominations for the Major Kutschinski Award and the Ralph Daniel Brother of the Year Award.

October 15

If the Chapter has approved an Annual Mass Mailing for the current year, the Vice President shall distribute the Annual Mass Mailing to Mu Beta Psi Alumni.

November 1

The President shall communicate individually with the President of each collegiate Chapter regarding the existence of the Major Kutschinski Award and the Ralph Daniel Brother of the Year Award, encouraging them to submit applications, and answering questions about either of the awards.

December 1

The Vice President shall send out the Alumni Newsletter.
